Hours of work: 7.5 hours/day, 5 days/week, @ 9-11 weeks

Yukon's archival heritage is preserved by diverse institutions in 15 First Nations; 12 community museums, heritage and cultural societies; Yukon University and Yukon Archives. Only Yukon Archives and two First Nations have archivists on staff. Other organizations rely on heritage staff or contractors to process archival records. YCA offers assistance to community archives through an itinerant Community Archivist program, with on-site advice for archives and records management development.

In December 2022 YCA will hire one or two professional archivists for short term work in a two to three month employment position for the YCA itinerant Community Archivist program. The archivists will travel to archives in selected Yukon rural communities and Whitehorse to assist staff in First Nations and community organizations with archival development. There is a large backlog of unprocessed and therefore unavailable records, at risk of being damaged or lost owing to inappropriate storage and lack of identifying data. Archival descriptions and preservation projects will allow access to northern records for residents and researchers from around the world for all present and future generations.

The Community Archivists will work directly with local staff to:

  • Identify priority records for arrangement, description and preservation

  • Design appropriate archives policies, plus appraisal, arrangement and descriptive procedures

  • Provide training in archives and records management processes

  • Implement archives policies and procedures.

Employment Dates:

  • Orientation: @ December 16 - 23, 2022 (via Zoom, evenings, weekends)

  • Travel to Yukon: @ mid-January – early February 2023

  • Yukon Based Archival Projects: @ 8 to 10 weeks full time January – March 2023 including work in selected rural community archives and Whitehorse plus reports on work completed

Project Oversite

The Project Manager (YCA President) and YCA board members will provide ongoing supervision of the Community Archivists; contacts with community archives staff; arrangements for travel and accommodation; processing of invoices for fees and expenses; direction for surveys and report writing; and other related oversight requirements as needed. 

Education and Related Experience:

The ideal candidates will have a Master’s degree in Archives Management or related discipline, plus several years of experience working in archives and/or records management settings, preferably with some experience working with small community and/or Indigenous archives and records programs. Must have a valid driver’s license and be willing to travel in winter.

Fees and Expenses

Fees will be negotiated as a project employment position commensurate with the education and experience of the successful candidates.  YCA will reimburse expenses for travel to/from and within the Yukon, plus accommodation and meals in accordance with available funding and agreed rates of expenditure for northern conditions.

About the Archives – We are a small team acting on behalf of the Band and in its interest to preserve culturally-significant records, artifacts, and histories. We also provide services to the community including digitization of personal electronic items. We support governance and administrative operations on reserve and across territories.

 

About the Records Management team – We are a small team tasked with preserving governance records, largely digitized, and implementing data security and privacy standards across all departments. We work closely with IT to develop processes to protect Chief an Council, MIB employees, and community members being served by programs. We conduct research and records retrieval according to the needs of other departments.

 

About the Role – We re seeking a highly competent individual with significant experience working with information policy laws and standards in B.C. and Canada. We are looking for a candidate with experience supporting First Nations and Indigenous organizations, communities, and initiatives. The ideal candidate is able to work in a hybrid-office setting, largely unsupervised, and conduct research to improve existing records policies. The candidate may be proficient in such areas as: real estate law, agricultural law, data security, social work, Crown and Indigenous law, Environmental protection laws, Maritime Law, and First Nations healthcare. We are seeking applicants who are legally able to work in Canada; however preference will be given to those able to work some days in office on our reserve based in Vancouver, close to U.B.C.

This new internship program has been developed by six Indigenous partners: the Musqueam Indian Band, the Squamish Lil’wat Cultural Centre, the Haida Gwaii Museum, the U’mista Cultural Society, the Nlaka’pamux Nation, the Coqualeetza Cultural Society, and the Museum of Anthropology at UBC. Funding is provided by Heritage Canada Museums Assistance Program and Mellon Foundation.

Areas of study include Collections Management, Conservation, Library and Archives, Oral History Language Laboratory, and Curatorial work.

There will be two annual calls for applicants: Spring and Fall. Placements are 10 weeks, 35 hours per week but may be adjusted to part-time, over a longer duration in order to meet family or community needs.

Location: At the Museum of Anthropology at UBC, in Vancouver, for eight weeks with a two-week placement at one of the six Indigenous partner organizations.

SENIOR MANAGER, FILM REFERENCE LIBRARY

The Film Reference Library is dedicated to preserving Canadian cinema heritage and promoting cinema scholarship by collecting, preserving, and providing access to a comprehensive collection of reference resources, as well as film and archival materials. The Library is free, open to the public, and a popular destination for movie lovers, filmmakers, students, researchers, screenwriters, and film and television professionals.

Reporting to the Director, Audience & Community, the Senior Manager of the Film Reference Library (FRL) will lead initiatives relating to the development, preservation, and maintenance of the library collections for the purposes of audience engagement, research, education, and exhibition. 

This role will be responsible for objectives related to four strategic areas: 

Reference Services: Expanding public access to the collections by providing services both online and in-person

Audience Engagement: Animating the collection through public display, tours, and outreach events

Film Preservation: Overseeing the maintenance and care of TIFF’s motion picture film print collection 

Collections Management: Supervising collection maintenance and cataloguing projects, with an intent to expand the collection to reflect underrepresented artists and communities

RESPONSIBILITIES:

  • Oversee the daily operations of the Film Reference Library and CIBC Canadian Film Gallery spaces

  • Connect public audiences with FRL reference materials, Special Collections, and library and archival staff through virtual reference services, by-appointment on-site visits, and tours

  • Execute standards of care and preservation of the Film Reference Library’s holdings, which includes a vast reference collection, artist special collections, and motion picture film

  • Supervise maintenance and cataloging projects to ensure the collection is accessible

  • Oversee annual outreach initiatives including Culture Days, UNESCO World Day for Audiovisual Heritage, Doors Open Toronto, tours and research visits for community and student groups

  • Train library staff, overseeing quality control of reference and research services

  • Supervise collections maintenance to assess holdings for condition, quality control of cataloguing data, with the goal of increasing access to materials and ensuring preservation standards

  • Act as primary liaison for reporting and internal bookings, as well as with external stakeholders such as patrons, collection donors, funders, and vendors

  • Work closely with Advancement, Corporate Partnerships, and Events teams on annual funding grants, reporting, and partnership opportunities

  • Co-chair the Collections Preservation and Access Committee, tasked with overseeing the care, maintenance, and legacy of the film print collection

  • Review international loan requests for film prints and DCPs as part of TIFF’s membership to the International Federation of Film Archives (FIAF)

  • Manage annual departmental budget and work plan

  • Oversee maintenance of MIMSY collections management database, and online catalogue tiff.net/library

  • Supervise and mentor one full-time direct report, Collections and Services Manager, and one part-time direct report, Library Clerk

START DATE:

MINIMUM REQUIREMENTS:

  • Master of Library Science/Master of Information or degree equivalency in archival, collections, or library management

  • 6-8 years experience, with demonstrated supervisory experience managing projects and people

  • Demonstrated skills and expertise in reference services, with secondary experience in collections management, including proficiency in collections management software/databases

  • Proficient in best practices for preservation, care, and storage of motion picture film, archival materials, and reference materials

  • Knowledgeable in film and media, with a preference for a candidate with a demonstrated cultural competency in one or multiple areas of Indigenous, Black, South Asian, East Asian, LGBTQ+ film and media

  • Conversant in recent innovations and professional standards in library science, including bibliographic control and collection development

  • Demonstrated experience in providing high quality public services

  • Demonstrated experience managing budgets

  • Familiarity with CCPERB application process

  • Previous experience in a schedule-driven, project-based environment with emphasis on timelines

  • Adaptable to a flexible work schedule including some evenings and weekends
